JOB SUMMARY      
Mission Capital multiplies the impact of mission-driven people and organizations. 

Last year we engaged with dozens of nonprofits and other organizations, provided training to more than 1,500 professionals, engaged hundreds more through our online membership community, and provided a variety of other services that contribute to getting complex community problems solved.

The Administrative Assistant will wear a variety of hats that include administrative support and providing a warm welcome to the dozens of people who visit our offices every week.

SPECIFIC RESPONSIBILITIES INCLUDE: 
General Administrative Support (45%) 

  • Open and distribute mail, recording payments to the check log and in Salesforce
  • Negotiate the purchase of office supplies in accordance with company purchasing policies
  • Coordinate logistics and catering for various administrative meetings
  • Manage the reception area, conference rooms, and work room, ensuring a professional, friendly & welcoming environment
  • Responsible for the facilities day-to-day operations, such as building maintenance requests and keeping the common areas neat and organized
  • Provide administrative support to the Finance and Operations staff, assist with new hire on-boarding and exiting employee processes, data entry, and light clerical duties as assigned 

Executive & Board Support (35%) 

  • Assist with board and committee communications including scheduling meetings, performance tracking and preparing materials 
  • Proactively assist with scheduling and managing CEO's calendar
  • Assist CEO (and possibly other executives) with administrative activities as needed
  • Help triage requests for time, resources, etc.

Membership Program Support (15%) 

  • Serve as second point of contact for incoming customer calls
  • Manage all aspects of members’ reservation and use of meeting spaces
  • Coordinate member requests for viewing salary surveys

General (5%) 

  • Participate as a full member of the Mission Capital team, adhering to core values
  • Attend All-staff meetings, participate at Mission Capital events, and coordinate collaborative activities with other departments as needed
  • Other duties as assigned

INDICATORS OF SUCCESS 

  • Office is well run, well-stocked, and welcoming to visitors and staff
  • Board of directors is well-informed and well-coordinated
  • CEO calendar requests are executed in an accurate and timely manner
  • Proactive action is taken to address the above job responsibilities
  • Feedback from program staff results in expectations met for requested support
  • Supervisor and feedback from departmental liaisons indicate Executive Assistant is representing Mission Capital’s organizational values and contributing to Mission Capital’s effectiveness

Work Environment and Physical Demands 
General office environment with low to moderate noise level. Work is generally sedentary in nature, but requires standing and walking for up to 30% of the time and occasional lifting up to 30lbs. Work is generally performed within an office environment, with standard office equipment available, but requires out-of-office work up to 10% of the time and occasional weekend work.

Work typically takes 40 hours per week, Monday through Friday, during standard business hours (9am-5pm).  The position requires working 10-15 Saturdays per year, being on call 5-10 weeknights per month, plus occasionally working evenings and early mornings.
